PM attended meeting with Trustees and updated Committee.
JAA attended meeting with website company and updated Committee.
Secretary report
Query arose via email re approval for construction of Double Doors and Juliette Balcony at 40 Painshawfield Road. Committee discussed whether the addition of Juliette Balconies should be allowed within permitted development in Covenant or whether an official application and issue of P1 document is required. Committee agreed this is dependent upon each individual case and how extensive the works are. Homeowners should always be advised to talk to the neighbouring properties in all cases.
The secretary received an email regarding migrant data for Stocksfield. It was agreed that we should respond advising we don’t have data of this type and can’t help.
Common Land
PM met with Rob Anderson and Ian Newton to discuss the appointment of new Trustees. Both existing Trustees advised that any new Trustees need to have lived on the Estate for some time and not be developers.
In terms of recruitment of 3 new Trustees, HR advised that Richard Maughan has agreed, and Paul Adams and Jim Allen were also proposed as possibilities.
Action: PM to progress with existing Trustees to investigate change of name on relevant documentation.
Financial Report
Appointment of David Elliott as Treasurer was unanimously approved.
Latest accounts show balance of £31,500.
Storage fees have increased considerably. Committee discussed possible digitisation of records and alternative suppliers.
Action: JA to investigate digitisation companies. JAA to investigate alterative storage suppliers.
A review of high interest payment accounts has been carried out with the best option being the Skipton Building Society. Two members of the EC were nominated as signatories – DE and MS.
Action: DE and MS to progress formal application process.
AGM
Action: HR to contact George Petrides to ask if he can act Chair and obtain potential dates for AGM.
Mission Statement & Objectives
JA confirmed that final version has been sent to NC.
Action: HR to obtain final version to be presented at next EC meeting.
Website
JAA has met with website company, Offstone Publishing to update website and improve useability and management, as well as investigating removal of Google Drive for storage of information. Committee approved strategy and initial costs to commence work.
Action: JAA to advise Offstone Publishing and commence work.
AOB
DE has received an unsolicited email from an architect advising that plot is ripe for development and would he be interested in developing it. Committee noted that this approach may be used with other residents and to be aware.
The Committee agreed a budget of up to £250 for secretary to purchase printer. Criteria should include ongoing low running costs.
Action: JAA to purchase printer which complies with requirements.

Awaiting feedback from neighbouring properties.

- 0128 – 24 Painshawfield Road – demolish garage and replace with slightly bigger structure. JAA to go back and ask homeowner for more detailed plans
- 0129 – 49 Apperley Road – assigned to BM
- 0130 – 26 Cade Hill Road – replacing double window with patio doors and replacement of porch roof. JAA to go back to homeowner and advise approved as long as stick to submitted plans.
- 0131 – 20 Meadowfield Road – construction of new single storey double garage. Assigned to HR and MS.
